Your duties

You like have your colleagues' backs in the office and help with your organisational talent and your open-mindedness? You are happy to be the contact person for a wide range of topics relating to reception and office management? Then you've found your new team! Together with our colleague Lars you will manage the reception - the heart of our Cologne office - and together you will be the focal point for all visitors!


  • As the first point of contact you inspire our employees, service providers and visitors with your friendly manner
  • You are the interface to the Executive Board Assistant and the C-level
  • Take over the digitalisation of various processes in everyday work-life
  • You are responsible for managing and tracking the dispatch of IT hardware to employees
  • You will work closely with our international offices
  • You manage internal and external communication via telephone and email and take over structuring our mail management
  • Coordinate processes in organisational areas, such as the purchase of office supplies and their distribution to employees
  • Organise internal, external and hybrid meetings (including the preparation and follow-up of meeting rooms and catering)
  • You are a safety officer and coordinate safety committee meetings
  • You work together with our fire protection and first aiders and know when they are trained
  • You support internal relocations and are passionate about New Work Spaces in the office

Your profile

  • First professional experience in direct and phone contact to employees and customers
  • Structured and independent way of working and a high sense of responsibility
  • Distinct communication skills and a confident demeanour
  • Very good German and English skills (written and spoken) - further foreign language skills would be an advantage
  • Good knowledge of the MS-Office package
  • A heart for dogs - and the willingness to share your office with 4 dogs

As a People Business Partner at Trusted Shops, I experience an incredibly varied work environment with constantly new tasks that challenge me and are fun at the same time. In addition to our Tech Unit, which I support intensively and develop further together with the managers in the unit, last year, for example, I supported the founding of our Italian branch from the HR side. The Spanish market also plays a role in my day-to-day work – so the internationality is not only reflected in our customer portfolio, but also in everyday life in the People Department.
