Do you fancy a varied job where there is never a dull moment? Among other things, you will make an active contribution to the effective structuring of the time processes, the flow of information and the decision-making process at Trusted Shops. You will work closely with the board and our management team.


  • As an executive assistant (f/m/d) you support our management and the management team in a targeted and efficient way with operational, organisational and strategic tasks
  • In close consultation with the Executive Board, you manage the entire annual calendar (decision-making bodies, all-hands communication) for the business and find solutions for ad hoc scheduling conflict
  • You are independently responsible for the coordination and organisation of appointments as well as the preparation and follow-up of appointments/meetings (e.g. Executive Board/Supervisory Board meetings) incl. taking minutes and action tracking
  • You independently prepare internal and external meeting, discussion and decision documents
  • You work trustfully with the board of directors, the management team and external stakeholders and actively support them in various operational tasks and projects
  • Preparing the content and organisation of internal and external events rounds off your job profile

Your profile

  • Completed commercial training, completed degree - preferably in economics - or comparable educational qualifications
  • Several years of professional experience (> 3 years) in management or executive assistance or a comparable role are required
  • Your strengths include a confident manner, a structured way of working and communication skills appropriate to the target group
  • You also have a high degree of resilience - even under time pressure and in dynamic environments
  • You have a high degree of solution-oriented action and a strong organisational talent. You convince with your reliability and discretion
  • You have experience in the planning and successful implementation of complex projects with multiple stakeholders
  • You have strong presentation and communication skills and a very good command of German and English (both written and spoken)
  • Very good user knowledge of MS Office applications (Word, PowerPoint, Excel, Outlook). Knowledge of collaborative user tools (Miro, G-Suite, Slack) is an advantage
